Circulation & Marketing Administrative Assistant
Beer Marketer's Insights, a B2B publisher located in Suffern, NY, is seeking a highly organized and detail-oriented circulation, marketing and administrative assistant to support our Circulation Director, Treasurer, President and editorial staff. We cover the US beer and beverage industries.
The Role
This in-person position offers a dynamic and fast-paced environment. You'll provide essential support across various departments, from customer service and data management to marketing and travel coordination.
Responsibilities
- Circulation Management: Process purchases of newsletters, reports, conferences, and webinars in the circulation system and associated spreadsheets. Verify incoming orders and payments to ensure nothing is missed.
- Customer Service & Data Management: Respond to customer inquiries, update customer information in our CRM, manage spreadsheets, and maintain accurate data in our CMS.
- Data Analysis & List Management: Organize, analyze, and de-duplicate customer and prospect lists. Identify promotional opportunities and analyze campaign results.
- Marketing & Creative Support: Assist with marketing promotions and copy, create artwork using Canva, Photoshop/Elements, or Kittl.
- Website Maintenance: Perform basic website maintenance, including uploading and modifying content. Knowledge of Joomla CMS and HTML is a plus.
- Digital Marketing: Develop and execute digital marketing campaigns (identify prospect lists, write copy).
- Financial Processing: Process payments while maintaining strict confidentiality for sensitive financial information.
- Administrative Support: Answer phones, take messages, manage emails, and create/maintain electronic and physical filing systems.
- Travel & Itinerary Coordination: Research and book travel for editors, assisting with itinerary planning.

Work Location: In person
Work Schedule: We are seeking a part-time candidate for this in-person position. The role requires a minimum of 5 hours per day between 9:00 AM and 5:00 PM, Monday through Friday. There is potential for this position to become full-time for the right candidate.
Compensation: $20-25/hr
Ability to commute/relocate: Suffern, NY 10901: Reliably commute or planning to relocate before starting work. Beer Marketer’s Insights is within walking distance to NJ Transit & Coach Suffern stops, on-site parking available.
